Closing Information

Vacating Your Room
  • Students are to depart 12 hours after their last exam, or by 9pm on Friday, April 25, whichever is earlier.
  • With the exception of students who have already received prior approval from Housing and Residence Life, ALL students MUST vacate their rooms by 9:00 pm on Friday, April 25.
    • Graduating Seniors and other students participating in commencement must vacate their rooms by 5:00 pm on Saturday, April 26.
    • All other late departures must vacate by 10:00 am on Saturday, April 26.
  • Requests to stay until Saturday must be received by Wednesday, April 23 at 4:30pm.
  • The last contracted meal is the evening meal on Friday, April 25.  Students will be responsible for their own meals after this time.
Check-Out and Key Return
Two Options for Check-Out Are Offered
1. Standard Check-Out 
  • Sign-Up for a check-out time w/ your RA.  In the event your RA is not free at the time you wish to check-out, seek out and register for an appropriate check-out time with another RA of the building in which you reside.
  • Clean your room as described in the next section of this document.
  • Inspect your room with your RA.
  • Sign room check out form and turn in keys to your RA.
  • Sign the “Semester Closing Form” on your room door.
  • Room will be re-inspected once all roommates have checked out.

2. “Express” Check-Out
  • Clean your room as described in the next section of this document.
  • Lock your room.
  • Sign the Express Check-Out Envelope, place your room key in the envelope and deposit the envelope in the appropriate locations (Campus Police or your Housing Staff Member’s room).  A charge of $50.00 will be incurred for any room key not returned.  
  • Drop off mailbox key to the mail room – Residence life is not responsible for mailbox keys.
  • Sign the “Semester Closing Form” on your room door.
  • The room will be inspected after both residents have left.
  • Damages assessed to students who use Express Check-Out ARE NOT open for debate and/or appeal.

Condition of Vacated Rooms
  • ALL students are expected to leave their rooms in the same clean condition when departing for the summer vacation period as when they arrived.  
  • ALL trash is to be removed from rooms and placed in appropriate containers. 
  • For those who are negligent or deliberately messy, please note that the student will be charged an appropriate labor charge when, in our judgment, extra work and labor time is required to clean the room.  
  • If specific damage is to be billed to a particular roommate, that roommate must take responsibility in writing, or all students assigned to the room will be billed
  • If extra trash bags are needed, please see your RA.
Personal Property
  • Please remove ALL non University items from your room.  
  • ALL non University items will be discarded when the rooms are cleaned.
  • There is no storage on campus over the summer months.
  • You may donate any unwanted items that are in good shape.  Please see the donation section below for details.
Unwanted Item Donations

Pitt‐Johnstown has partnered with GOODWILL INDUSTRIES OF THE CONEMAUGH VALLEY to collect any of the students’ unwanted furniture, clothing and other items during the semester closing and graduation.  Donations will go directly to Goodwill to be sold to support the many efforts funded by Goodwill Industries. 

Goodwill will place collection trucks on campus for students to donate their items.  Students can simply take donations directly to the trucks.   

Trucks will be available during normal business hours each day during Finals Week (April 21 – 25).  No trucks will be available on Saturday. 



University Property
  • Be certain that ALL University items have been returned to their proper places, e.g., beds, mattresses, lounge furniture, etc., in order to avoid damage assessments.  
  • ANY work that is required by our Physical Plant staff to return a room to an acceptable condition WILL result in a NON-NEGOTIABLE labor charge.  
  • ANY damage not listed on your room condition report (RCR) WILL be billed directly to you, along with a pro rated charge for common area damage for which no one has taken responsibility.
Mail Forwarding
  • Please notify ALL companies or individuals of your summer address.  
  • Only first class mail will be re-directed.  
    • Bulk mail and magazines WILL NOT be forwarded; please change your mailing address with these companies.
